Refund & Cancellation Policy

Draft: pending legal review. This document is a good-faith draft describing how Command Nexus actually operates. It has not yet been reviewed by a lawyer and does not constitute legal advice. It will be finalized before the platform accepts real payments.

This Refund & Cancellation Policy describes how refunds, cancellations, and the EU/UK digital-withdrawal right work for purchases made from Command Nexus, a company in formation ("Command Nexus," "we," "us"). It is part of our Terms of Service and applies to subscriptions, one-time purchases, and add-ons bought through the Service. All payments are processed by PayPal; we never receive or store your card or bank details.

1. First-purchase 5-day refund window

If this is the first purchase you have made on your Command Nexus account — your first subscription payment, or your first one-time purchase (for example a Nexus Admin licence, a Requisition item, or a seat pack) — you may request a full refund within five (5) days of that charge, no questions asked. This applies once per account; it is not renewed by later purchases, plan changes, or by joining a different organization.

To request a first-purchase refund, email commandnexusproducts@gmail.com from the address on your account within the window, with the order or transaction reference from your PayPal receipt. We process approved refunds back to your original PayPal payment method. Approved refunds are typically initiated within a few business days of the request.

If a refunded purchase granted a Nexus Admin licence, that licence is deactivated as part of the refund and any server it was applied to loses the entitlement it granted.

2. After the first-purchase window

Outside the 5-day first-purchase window, purchases are final and non-refundable on a pro-rata basis — we do not issue partial refunds for unused time on a subscription, partially used seats, or one-time purchases made after your first. This keeps the policy simple and matches how a small, self-serve platform actually operates. If something on our end went wrong (a billing error, a duplicate charge, or a service outage that meaningfully affected you), email us and we will look at it in good faith on a case-by-case basis — that is a discretionary exception, not a right created by this section.

3. Cancelling a subscription

You can cancel a subscription at any time from your organization's billing page. Cancelling:

  • stops future renewal — no further charges will be made;
  • does not refund the current billing period; your organization keeps access through the end of the billing cycle you already paid for (monthly or yearly, whichever you're on), exactly as reflected in your billing page;
  • after that cycle ends, the organization is moved to the free plan (or suspended if payment was the issue, per our non-payment lifecycle) rather than losing its data — see the Terms of Service and Privacy Policy for what happens to data on downgrade versus account/organization deletion.

A seat add-on subscription works the same way: reducing or cancelling seats takes effect at the next billing cycle, and your member cap returns to your plan's base capacity once the seat subscription ends. Card/PayPal-side cancellations or disputes are still subject to PayPal's own processes, independent of this policy (see Section 6).

4. Free trials

Some plans offer a free trial with a payment method on file. You are not charged during the trial. If you cancel before the trial ends, you are never charged and there is nothing to refund. If the trial runs to completion, the first charge occurs automatically at trial end and is treated as your first purchase for the purposes of Section 1 — you still have a 5-day window from that first charge to request a refund. Trial eligibility is limited to one trial per organization and per account email within a rolling period, and may not be abused.

5. One-time purchases

One-time purchases — including Nexus Admin one-time (buyer-owned) licences, lifetime/update purchases, Requisition items, and one-off seat packs — follow the same rule as Section 1: the 5-day window applies if it is your account's first purchase; otherwise one-time purchases are final. Where a one-time purchase grants a software licence, refunding it deactivates the licence and removes the entitlement it granted from any server or organization it was applied to.

6. EU/UK digital-services withdrawal right

Consumers in the European Union and United Kingdom normally have a statutory right to withdraw from a distance contract for digital content within 14 days, without giving a reason. Because Command Nexus grants you immediate access to the Service or the purchased item as soon as your order completes, that statutory withdrawal right is lost once performance begins with your consent. To make this clear and lawful, at checkout you are asked to tick a separate acknowledgement confirming that you request immediate access and understand this waives your right of withdrawal once access begins. Waiving the 14-day withdrawal right does not waive your first-purchase 5-day refund under Section 1 — the two protections are independent, and the 5-day window is generally the more generous of the two.

7. PayPal disputes

Nothing in this policy limits your ability to raise a dispute or chargeback directly with PayPal under PayPal's own buyer-protection process; that process exists independently of, and is not controlled by, this policy. We ask that you contact us first so we can try to resolve the issue directly — it is usually faster.

8. Changes to this Policy

We may update this Policy. When we make a material change, we will publish the new version in our Legal Center with a new effective date and ask you to re-accept it the next time you check out.

This Policy is governed by the laws of the State of [U.S. STATE — set on LLC formation], United States, in the same manner as our Terms of Service, except where mandatory consumer-protection law in your place of residence applies.
